The My COGOVI application ("App") is developed by COGOVI Services and Tourism Limited Company ("We", "Company"). We are committed to protecting the privacy and personal information of our employees.
This policy describes how we collect, use, store, and protect your information when using our internal employee management application.
Important Note: MY COGOVI is an internal management application exclusively for employees of COGOVI Services and Tourism Limited Company. Only authorized employees can use this application.
2. Information We Collect
2.1. Login and Employee Information
- Full name, employee ID
- Company email address
- Password (encrypted and securely stored)
- Profile picture (if uploaded)
- Department, position
2.2. Work Check-in Data
- Daily check-in time
- Geographic location (GPS) when checking in to verify work location
- Photos taken during check-in (if captured)
- Check-in history over time
2.3. Feedback and Suggestion Data
- Feedback content and suggestions
- Attached images (if any)
- Submission time
3. Access Permissions and Usage Purposes
3.1. Camera Permission (android.permission.CAMERA)
The application requires camera access so you can:
- Take daily work check-in photos to confirm attendance
- Attach photos to feedback and incident reports
- Update personal profile picture
The camera is only activated when you actively use the feature. We do not automatically access your camera.
3.2. Location Permission (android.permission.ACCESS_FINE_LOCATION, ACCESS_COARSE_LOCATION, ACCESS_BACKGROUND_LOCATION)
The application requires location access to:
- Record location when checking in to work to verify that employees are at the correct work location
- Display company office address and branches
- Track check-in history at different work locations
Background Location Permission: Used to record check-in location even when the app is running in the background, helping employees avoid interruption. Location is only recorded during working hours and only when you actively check in.
3.3. Storage Permission (android.permission.READ_EXTERNAL_STORAGE, WRITE_EXTERNAL_STORAGE)
The application requires storage access to:
- Save check-in photos and feedback attachments on device
- Cache internal news and notifications for offline viewing
- Temporarily save check-in history to sync when network is available
- Download company internal documents and guidelines
Note: WRITE_EXTERNAL_STORAGE only applies to Android 12 and below (maxSdkVersion="32"). Newer Android versions use a more secure permission system.
3.4. Internet Permission (android.permission.INTERNET)
The application needs internet connection to:
- Synchronize check-in data with company management system
- Load internal news, notifications, and events from company
- Submit feedback and reports to management department
- Update personal information and employee profile
- Authenticate users during login

- Manage accounts and authenticate employees
- Record and manage work check-in history
- Process and respond to employee feedback
- Provide internal company news and notifications
- Manage personal information and employee profiles
- Improve service quality and user experience
- Comply with legal regulations and labor policies
5. Data Storage and Security
5.1. Storage Location
Your data is stored on the company's secure server system and encrypted cloud services. All data is protected by advanced security measures.
5.2. Security Measures
- All data is encrypted during transmission (HTTPS/SSL)
- Passwords are encrypted and cannot be read
- Only authorized employees can access data
- System is monitored and regularly updated
- Regular data backups to ensure safety
5.3. Retention Period
- Check-in data: Stored throughout employment at the company
- Employee information: Stored according to Vietnamese labor law regulations
- Feedback history: Stored for a minimum of 2 years for management purposes
- Temporary data (cache): Automatically deleted after 30 days
6. Information Sharing
We do not sell, rent, or share your personal information with third parties, except in the following cases:
- When requested by competent legal authorities
- When necessary to protect the rights, property, or safety of the company and employees
- With technical service providers for application operation and maintenance (under confidentiality agreement)
- Within the company for human resource management purposes
7. Employee Rights
You have the following rights:
- Access and view your personal information in the application
- Edit and update personal information
- Request deletion of personal data (contact HR department)
- Refuse to grant access permissions (some features may not work)
- Withdraw consent to use data at any time
- File complaints about personal data processing
8. Legal Compliance
This privacy policy complies with Vietnamese legal regulations on personal data protection, including:
- Decree 13/2023/ND-CP on personal data protection
- Labor Code 2019
- Law on Cybersecurity 2015
- Other relevant regulations
9. Children
This application is only for internal company employees (18 years and older). We do not intentionally collect information from children under 18 years old.
10. Policy Changes
We may update this privacy policy over time to reflect changes in operations or legal requirements. All changes will be notified in the application or via company email. Your continued use of the application after changes are made is considered acceptance of the new policy.
